Question 3:
How do I run a report to find the cost of the activities related to a specific User Defined Attribute (in Activity Analysis)?

Answer:
The easiest way to generate a report showing the cost of the activities associated to one of the User Defined Attributes is to modify one of CMS-PC 4.0’s built-in reports. Because CMS-PC 4.0’s User Defined Attribute fields record only a Y(es) or a N(o), you will simply add a filter to one of our reports that says: "Attribute Flag #1 Is Like: Y".

1. From the CMS-PC™ 4.0 Main Menu, choose Reports.

2. Highlight one of CMS-PC™ 4.0’s reports. For this example, click on the Departmental Summary report.

3. Choose Edit (at the bottom of the Request Manager).

4. Choose Save As.

5. Create a unique name for your report. For this example, type DEPTSUM1.

6. You can also change the Description for the report to reflect the changes you are making. For this example, type Departmental Summary for "your user defined attribute here".

7. Choose Ok.

8. At the Request Editor, choose Filters.

9. Choose Add.

10. Search the Activity Description list to find the field called: User Attribute Flag 1. Click on it. NOTE: If the User Defined Attribute you want to use is not the first of the five attribute column headings in the Activity Analysis module, choose the User Attribute Flag that represents the column heading for your attribute.

11. The filter show now read: User Attribute Flag 1 Is Like: In the Value field at the right, type Y. NOTE: You must type a capital "Y" because CMS-PC 4.0 stores it as a capital in the database.

12. Choose Ok.

13. Choose Ok again to exit the Filter screen.

14. Choose Done.

15. Choose Preview. The report that is generated will display all of your Departments and their activity costs associated to only the User Defined Attribute that you selected.

Using the steps above, you can add a filter to other CMS-PC 4.0 reports, such as the Primary Activity Cost by Department report, to generate more detail on the summarized cost in the report you just created.

Important: You cannot add filters to the following reports: Multiple or Single Level Bill of Activity reports, Summarized Activity by Cost Object report, Ranking or Summarized Ranking reports.
